Privacy Policy

Privacy Policy for tracidmitchell.com

We keep this short and in plain English because nobody reads a privacy policy written any other way.

This policy explains what TDM Lifestyles, Inc. ("we," "us," or "Traci") collects when you use tracidmitchell.com, join Healthy, Happy Hormones, subscribe to Estrogen Weekly, buy a digital product, or work with Traci one on one, and what we do with it.

1. What we collect

When you visit the site. Standard technical information: your IP address, browser, device type, the pages you visit and how you got here. This comes through cookies and Google Analytics, described in section 5.

When you take the hormone quiz on the sales page. Nothing. The quiz runs in your browser and does not send your answers to us or store them anywhere. It doesn't ask for your email.

When you subscribe to a newsletter, download a guide, or take the 3-Minute Hormone Assessment. Your name, your email address, and, for the assessment, your answers, so we can send you the result and the emails you signed up for.

When you buy something. Your name, email address, and billing address. Your card details go directly to Stripe, our payment processor, and never touch our servers. We see the last four digits, the card type, and the charge history, and nothing else.

When you join Healthy, Happy Hormones. Your account details (name, email, password, which is stored encrypted), your payment history, your acceptance of the Terms of Service, and your progress through the library. In the private community, anything you choose to put in your profile and anything you post. On live calls, your video and audio if you keep your camera and microphone on, because calls are recorded for members who can't attend.

When you work with Traci one on one. Whatever you choose to share about your health, history, and goals, through Practice Better, the client platform we use for private coaching. Practice Better is a HIPAA-compliant platform and that information stays there.

When you email us. Your email address and whatever you wrote.

We never ask for, and please don't send, a Social Security number, a full card number by email, or anyone else's health information.

2. How we use it

  • To deliver what you asked for: the newsletter, the product, the membership, the coaching.
  • To run your account: log you in, bill you, send receipts, tell you if a payment fails, and let you cancel.
  • To run the community and the calls: show your profile to other members, post what you post, and make recordings available to members.
  • To send you email you signed up for. Every marketing email has an unsubscribe link at the bottom, and it works the first time.
  • To understand how the site is used, in aggregate, so we can make it better.
  • To meet our legal and tax obligations, which mostly means keeping records of sales.

We do not sell your information, rent it, or trade it. We do not use it for advertising on other platforms.

3. Who sees it

Other members. Inside Healthy, Happy Hormones, other members can see your profile, your posts, and you on recorded calls if you're on camera. Nothing about you is visible to anyone outside the membership.

Traci and the people who help run the business. A small number of contractors help with administration. They only see what they need to do that work and they're bound to keep it private.

Service providers. The companies whose tools we use, listed in section 4. Each one sees only what it needs to do its job.

When the law requires it. If a valid legal process requires us to hand something over, we will, and we'll tell you if we're allowed to.

That's the whole list.

4. The tools we use

Each of these has its own privacy policy that governs what it does with data on its side.

  • Stripe processes payments. It holds your card and billing details; we don't.
  • Kit sends our email. It holds your name, email, which lists you're on, and which emails you open.
  • MemberPress and WordPress run the membership and the site. Your account, purchases, library progress, and posts live here, on our web host's servers in the United States.
  • BuddyPress powers the private community inside the site.
  • Zoom hosts the live calls and makes the recordings.
  • Vimeo or YouTube host the lesson videos. They may set their own cookies when a video plays.
  • Practice Better holds one-on-one coaching records.
  • Zapier moves purchase information between Stripe and Kit so digital products get delivered.
  • Google Analytics tells us how the site is used.
  • Dropbox stores some of our files.

5. Cookies

Cookies are small files your browser stores. We use them to keep you logged in, to remember your preferences, and, through Google Analytics, to count visits and see which pages people read. Google Analytics does not tell us who you are. You can block cookies in your browser settings; the site will still work, though you'll have to log in more often.

6. How long we keep it

  • Newsletter subscribers: until you unsubscribe, then your address is removed from active lists.
  • Members: your account stays while you're a member. If you cancel, we keep the account for 12 months in case you come back, then delete it. Payment records are kept for 7 years because tax law requires it.
  • One-on-one coaching records: for as long as required by our professional and legal obligations, then deleted.
  • Email you send us: for as long as it's useful to answer you, usually not more than 2 years.

7. Your choices and rights

  • Unsubscribe from any email with the link at the bottom.
  • Update your account, profile, and card from your account page.
  • Ask us what we have. Email us and we'll tell you what information we hold about you.
  • Ask us to delete it. We'll delete everything we're not legally required to keep (payment records are the main exception).
  • Ask us to correct it.

If you live in California, the UK, or the European Union, you may have additional rights under local law, including the right to know, to delete, and to opt out of "sales" of personal information. We don't sell personal information, so there's nothing to opt out of, but the other rights still apply and we honor them for everyone regardless of where they live. Email us at the address below and we'll respond within 30 days.

8. Security

We use HTTPS everywhere, passwords are stored encrypted, payment details never reach our servers, and access to member information is limited to the people who need it. No system is perfectly secure. If we ever learn of a breach affecting your information, we'll tell you as quickly as the law allows.

9. Children

This site and everything on it is for adults. We don't knowingly collect information from anyone under 18. If you think we have, email us and we'll delete it.

10. Links to other sites

We link out to research, doctors, and other resources. Once you leave our site, their privacy practices apply, not ours.

11. Changes

If we change this policy in a way that matters, we'll email members and subscribers and update the date below. Small clarifications get posted here without a notice.
